Purpose and Overview of Support

Purpose
To maximize marketing impact, make events to return to Busan and establish a long-term growth engine for the MICE industry in Busan by providing administrative or financial support

Stages of Support 3 Stages: Support for Event Attraction, Promotional Support, Support for Hosting
Criteria The scale of support event-holding organizations receive depends on the scale of their event and the impact of event on the local economy.
Scale of Support
  • Event-holding organizations receive within the amount confirmed through an evaluation
  • The organizations may receive from KRW 2 mil to 50 mil. for each stage of support.

Eligibility and Criteria

International Conference Ⅰ

Academic societies, organizations, associations, groups or corporations attracting or hosting international conferences pursuant to the International Conference Industry Promotion Act in Busan

  • Conferences hosted by international organizations or organizations, groups or corporations that are members of an international organization, attended by at least 5 countries and 300 attendees (at least 100 foreign attendees) and last at least 3 days.
  • Conferences hosted by organizations, groups or corporations that are NOT members of an international organization, attended by at least 150 foreign attendees and last at least 2 days.

UIA International Conferences

  • Conferences organized or sponsored by international organizations or groups with at least 50 attendees
  • Conferences that are NOT organized or sponsored by international organizations or groups but are international conferences hosted by domestic organizations or groups or domestic branches of international organizations or groups, attended by at least 5 countries and 250 attendees with at least 40% of them being foreign attendees and last at least 2 days.

ICCA International Conferences

  • Conferences attended by at least 50 people and held in turn by at least 3 countries.
International Conference II
Academic societies, organizations, associations, groups or corporations that attract or hold conferences in Busan attended by at least 500 attendees including at least 10 foreign attendees and last at least 2 days.
International Conference III
Academic societies, organizations, associations, groups or corporations that attract or hold conferences in Busan attended by at least 50 foreign attendees and last at least 2 days.
Those who receive financial support (except for the financial support received prior to the date of announcement of the first regular program of 2017) from Busan City or other autonomous local government (district or county) may not apply for this program

Support for Event Attraction: KRW 300,000 – KRW 30 mil.

Promotional Support: KRW 300,000 – KRW 20 mil.

Support for Event Hosting: KRW 200,000 – KRW 50 mil.

10% of the amount of support additionally provided when using a Busan MICE Alliance member (with a proof)

04Bonus System

Organizations hosting an event in Busan will provided with a bonus in addition to the basic support when using one or more Busan MICE Alliance members

When using 1 Busan MICE Alliance member: 5% of the amount of basic support

When using 2 Busan MICE Alliance members: 10% of the amount of basic support

When using 3 Busan MICE Alliance members or more: 20% of the amount of basic support (20% when using a local PCO and if not, 10%)

Category Details
Number of Attendees
  • Calculation: Expected number of attendees (Korean and foreign attendees)
  • Number of attendees described in a range: The minimum number is used (e.g. 200-300 → 200)
  • Attraction and Promotion Stages: 120% of the average of the numbers of attendees in two previous conferences held by the applicant shall be used as the maximum number of attendees.

Proof of any justifiable reason, when submitted, shall be considered for additional recognition. Not applicable, if the proof does not change the grade.

Limitations to Support
  • Organizations shall receive support once for each stage of support.
  • Organizations receives and may apply for support once a year for each stage of support.
Recognition of Attendees
(Support for Hosting Event)
  • Foreign Attendees: Attendees with a foreign citizenship (foreign attendees who are affiliated to a Korean organization not recognized)
  • Required Information about the Attendees: Name, nationality, affiliation
Cancellation of Support Fund
(Support for Hosting Event)
  • If the result (score) on the final report on events held does not meet the criteria for financial support
Deduction on Support Fund
  • If the amount of support fund re-calculated based on the final result of the event held exceeds the initially set amount by 20%, the final amount of the support fund shall be the amount re-calculated (For events in which the minimum amount is applied: The 20% excess amount over KRW 20 mil shall be reduced to 10%)
  • The amount supported for providing a proof of use of Busan MICE Alliance members shall be deducted if the proof is not submitted (The proof is accepted before confirming the final support fund)

When using PCO’s based in Busan (headquarters, independent corporation), the agency fees are supported by the program.

      May not apply for this item if it was already included as an item supported for hosting the event.

How to Apply

Application Period
  • Regular application periods (twice a year), all-year-round
  • At least a month before starting to attracting an event, promoting an event or hosting an event
Method
  • Support fund shall be paid in the form of cost-reimbursements.
    • BTO shall spend the confirmed support fund when it’s directly carrying out activities to attract, promote and/or host the event.
    • BTO may review the final event report and pay the costs incurred if the organization requests for an unavoidable reason.
How to Provide Proofs
  • Organizations attracting, promoting or hosting an event must submit proofs of expenses for the items to receive support on.
    • Documentary proofs and bank account that show payment made to MICE Alliance members: Estimate (contract), tax invoice, proof of payment, copy of the bank book.
    • Proofs of international wire transfers for activities for attracting/promoting the event.

    Corporate card receipts (for inevitable circumstances), official letters of explanation, estimates and contracts

    All payments should be made via account transfer (tax invoices required).

Requirements

  • The final event report must be submitted within a month after the event has ended. If not, the support fund will be cancelled. This applies to events for which the final report can be made by November 30, 2019. BTO shall allow the organizations to submit final reports on the events that end after December 1, 2019.
  • Support fund cannot be paid to organizations that use items which have not been approved by BTO.
  • Organizations must show the logo of BTO on their event items, materials and websites produced for their events.
  • Organizations must provide tourism information about Busan on their official event-related materials and websites.
  • Support fund shall be cancelled or deducted if the scale or other elements of the event held do not meet the criteria for the support fund.
  • Expenses for items or activities carried out differently from the plan submitted with the application will not be reimbursed (e.g. schedule for attracting, promoting or hosting an event).
  • Support fund shall be cancelled when exaggeration of the number of event attendees, duplicate information or fake proofs are found and, the organizations concerned may receive disadvantages when applying for the program in the future.
  • Organizations must return the support fund in full when changing the event location to a city other than Busan after receiving the fund.
  • Organizations must provide Busan City and BTO opportunities to promote themselves and, actively cooperate with surveys.
